The British Embassy in Pristina, Kosovo, is part of the UK Foreign, Commonwealth and Development Office’s (FCDO) world-wide network representing British political, economic and consular interests overseas and is now looking to recruit one (1) full-time Executive Assistant to His Majesty’s Ambassador (HMA).

The Executive Assistant to HMA sits at the heart of the Embassy and plays a key role within the Embassy, supporting the Ambassador in his leadership of the team and external impact with a wide range of stakeholders; including in government, civil society, businesses and other organisations. As such, the Executive Assistant to HMA needs to have effective links with all teams, as well as high impact with senior external contacts.

The Executive Assistant to HMA is responsible for managing the Ambassador’s diary to ensure maximum value is made of Ambassador’s time and to ensure smooth, timely and effective information flow from different Embassy departments to HMA, including briefings, reports and internal meetings. The Executive Assistant to HMA should proactively manage HMA’s time beyond passive diary keeping anticipating needs and, when required, liaising with teams on high-quality briefings and papers.

The Executive Assistant to HMA will need to take the lead on coordinating a large number of events, from small lunches to large receptions, and to lead on visits and protocol matters. When the Ambassador is away the Executive Assistant to HMA supports Deputy Head of Mission who becomes Chargé d’Affaires. Other duties may occasionally arise in a busy Embassy, and flexibility within a wider team is necessary.

Essential qualifications, skills and experience

  • Fluency in English and Albanian (excellent written and spoken skills, minimum of C1/C2 level according to CEFR framework*).
  • At least 2 years of experience in administrative work within a similar environment.
  • Ability to navigate a complex organisational environment and build a thorough understanding of the Embassy’s aims and objectives. Discreet understanding of confidentiality issues.
  • Ability to take personal responsibility for operational delivery, learn new skills and flexible resources, tasks and activity according to ever-changing demands.
  • Ability to prioritise workload where required working with minimal supervision and with precision.
  • Good organisational and time management skills.
  • Ability to work under pressure and to tight deadlines.
  • A positive ‘can do’ attitude, with strong attention to detail.
  • Good knowledge of MS Office programmes.

Desirable qualifications, skills and experience

  • Familiarity with the structures of Kosovo’s government and understanding of political and diplomatic issues in Kosovo.
  • Knowledge of other official languages in Kosovo.
  • University degree preferably in business administration, or similar.

The successful candidate is required to start as soon as possible. The contract is for a fixed term period of one year with the possibility of extension. The probation period is 6 months. Working hours are 36 net hours per week, Monday-Thursday 08:00-16:30 and Friday 08:00-14:00.

Employees recruited locally by the British Embassy in Pristina are subject to the Terms and Conditions of Service according to local employment law in Kosovo, as interpreted by the Foreign, Commonwealth and Development Office.
